1. About Essetly

Essetly ("we", "us", "our") is an Australian digital life organiser that helps individuals and families securely store, manage and share their important financial and personal documents. We are committed to protecting your privacy and handling your personal information responsibly in accordance with the Australian Privacy Act 1988 and the Australian Privacy Principles (APPs).

2. Information We Collect

We collect the following types of information:

Account information: Your name and email address when you create an account
Financial information: Bank account details, asset values, and liability information you choose to add
Documents: Files and documents you upload or import via email or Gmail
Insurance information: Policy details you add to the platform
Contact information: Details of emergency contacts and beneficiaries you add
Usage data: How you interact with our platform to improve our service

3. How We Use Your Information

We use your information to:

Provide and improve the Essetly service
Send reminders about expiring documents and upcoming payments
Enable secure sharing with your nominated beneficiaries
Communicate important service updates
Comply with legal obligations

4. How We Store and Protect Your Data

Your data is stored securely using Supabase, hosted on AWS infrastructure in Australia where possible. We use industry-standard encryption in transit (TLS) and at rest. Access to your data is strictly controlled and limited to authorised personnel only. We do not sell your personal information to third parties.

5. Third Party Services

We use the following third party services:

Basiq: For securely connecting and reading your bank account data (open banking)
Google Gmail API: Only if you choose to connect your Gmail to auto-import documents
OpenAI: For AI-powered document classification and insights (data is not used for training)
Resend: For sending transactional emails
AWS: For storing uploaded documents and processing inbound emails

6. Sensitive Document Protection

Essetly automatically detects sensitive identity documents and applies additional protections:

Identity documents (passports, driver's licences, Medicare cards, birth certificates, tax file number documents and visa documents) are never sent to any external service. They are processed locally and stored with encryption only.
Financial documents (invoices, insurance policies, bank statements) may be analysed by OpenAI to extract useful information such as dates and amounts. OpenAI does not use your documents to train their models.
You can identify protected documents by the lock icon in your document library.

7. Sharing Your Information

We only share your information with people you explicitly authorise as beneficiaries or advisors within the Essetly platform. We do not share your data with advertisers or data brokers. We may disclose information if required by Australian law or a court order.

8. Gmail Access

If you choose to connect your Gmail account, we request read-only access to scan for relevant financial documents, insurance renewals and important correspondence. We do not read, store or process personal emails unrelated to financial documents. You can revoke Gmail access at any time from your Google account settings or within Essetly.

9. Your Rights

Under the Australian Privacy Act, you have the right to:

Access the personal information we hold about you
Request correction of inaccurate information
Request deletion of your account and data
Opt out of marketing communications
Lodge a complaint with the Office of the Australian Information Commissioner (OAIC)

10. Data Retention

We retain your data for as long as your account is active. If you delete your account, we will delete your personal data within 30 days, except where we are required to retain it by law.
